Compliance Notes

  • Entry must be genuinely free.
  • Arrears condition is applied objectively and consistently.
  • Behavioural exclusion is based on formal written notices (not informal warnings).
  • All steps of prize draw must be documented. Conducted by randomizer or equivalent with at least 2 staff members present.
  • Monthly Prize amount must be decided and communicated prior to the start of the month.
  • Must retain a short audit record of winner selection (12 months)
  • Draw cannot be framed as ‘reward for rent payment’.
  • Cannot exclude tenants who are on agreed arrears payment plans.

 

Draft Terms and Conditions

  • Promoter
    • The promoter is Graysons Properties Ltd, registered in England and Wales under company number 09032171.
    • The Promoter manages residential and commercial properties within the United Kingdom.

 

  • The Promotion
    • The promotion consists of a monthly free prize draw (the “Draw”).
    • One eligible tenant will be selected at random each calendar month to receive each cash prize (the “Prize”).
    • The Prize amount for each month will be determined by the Promoter prior to the start of that calendar month and will be between £50 and £500.
    • The Prize amount applicable to that month will be confirmed in advance through tenant communications.
    • No entry fee or additional payment is required to participate.

 

  • Eligibility
    • A tenant will be eligible into a monthly Draw if, at 23:59 on the day directly before the day of the prize draw:
  • The tenant is aged 18 or over;
  • The relevant tenancy agreement remains active and has not been terminated;
  • No rent lawfully due remains unpaid beyond any formally agreed payment arrangement; and
  • The tenant is not subject to an active written breach notice, behaviour warning, or other formal enforcement action issued under the tenancy agreement.

 

  • For the purposes of clause 3.1(c), tenants who are adhering to a formally agreed written repayment plan shall not be treated as in arrears.
  • Each tenancy agreement constitutes one entry, regardless of the number of named tenants.
  • Employees of the Promoter and their immediate family members are not eligible.
  • Eligibility is assessed objectively by reference to the Promoter’s tenancy and accounting records at the eligibility cut-off time stated above.

 

  • Entry Mechanism
    • Eligible tenants are entered automatically into the Draw.
    • Tenants are not required to take any action to enter.
    • Entry into the Draw does not affect a tenant’s rights or obligations under their tenancy agreement.

 

  • Winner Selection
    • The Draw will take place within the third week of each calendar month.
    • The winner will be selected at random from the pool of eligible tenants using a verifiable random selection process.
    • A record of the Draw, including the eligibility list and method of randomisation, will be retained for audit purposes for a minimum period of 12 months.
    • The decision of the Promoter is final, provided that the Draw has been conducted in accordance with these Terms and Conditions.

 

  • The Prize
    • The Prize is an amount between £50 and £500, payable by electronic bank transfer (BACS).
    • The winner will be contacted using the contract details held on file and will be required to confirm acceptance of the Prize and provide bank details for payment.
    • Payment will be made within 14 days of receipt of valid bank details.
    • A novelty cheque may be presented for promotional or celebration purposes. The novelty cheque is symbolic only and does not constitute the method of payment.
    • The Prize is non-transferable and o cash alternative or substitution will be offered except where circumstances beyond the Promoter’s control make this necessary, in which case a prize of equal or greater value will be provided.

 

  • Notification and Unclaimed Prizes
    • If the winner does not respond within 14 days of first contact, the Promoter reserves the right to conduct a further random Draw to select an alternative winner.

 

 

  • Publicity
    • The Promoter may publish the winner’s first name and general property location (for example, “Aisha – Newcastle Upon Tyne”) for transparency purposes.
    • Publication of a full name, photograph or promotional material (including photographs involving a novelty cheque) will only take place with the winner’s prior written consent.
    • A list of winers’ first names and general locations may be requested by emailing info@graysonsproperties.co.uk within one month of the relevant Draw.

 

  • Data Protection
    • Personal data will be processed solely for the purpose of administering the Promotion.
    • The lawful basis for processing is the Promoter’s legitimate interests in operating the Promotion.
    • Personal data will be handled in accordance with the UK GDPR and the Data Protection Act 2018 an in line with the Promoter’s Privacy Notice.

 

  • Disqualification
    • The Promoter reserves the right to remove a tenant from the Draw where eligibility in clause 3 are not met at the cutoff date.
    • Any such removal will be based solely on objective records and not at the Promoter’s discretion.

 

  • Limitation and Variation
    • The Promoter reserves the right to amend, suspend, or withdraw the Promotion where reasonably necessary for regulatory, legal, or operational reasons.
    • Any amendment will not operate retrospectively in respect of a Draw already completed.

 

  • Governing Law
    • These Terms and Conditions are governed by the laws of England and Wales and subject to the exclusive jurisdiction of the courts of England and Wales.
